The short answer: most solo real estate agents should start on Google Workspace Business Standard at $14 per user per month. It gives you a professional email address at your own domain, 2 TB of storage, and Gemini AI built into Gmail and Docs. If you have not registered a domain yet, start with how to choose a real estate domain name — your email address inherits whatever you pick. Business Starter at $7 works if you only need email and 30 GB. Teams and brokerages that need shared drives and larger meetings want Business Plus at $22.
Google is currently running 50% off Business Starter and Business Standard through 16 December 2026, which brings Standard to $7 per user per month for the first year.

Google Workspace for realtors: which plan should you choose?
Solo realtors and independent agents
Business Standard ($14). The jump from Starter is the one worth making. Starter’s 30 GB fills quickly once you are storing listing photography, video walkthroughs, and signed documents — a single property shoot can run several gigabytes. Standard’s 2 TB removes that problem permanently and adds full Gemini access.
Choose Starter only if you genuinely need nothing more than professional email and a calendar.
Small teams (2–10 agents)
Business Standard, unless you need shared drives. Storage is pooled across your organisation, so a five-person team on Standard shares 10 TB rather than being capped individually. Move to Business Plus when you want shared team drives with proper administrative control over who keeps access when an agent leaves.
Google Workspace for real estate brokerages
Business Plus ($22). The deciding feature is not storage, it is control. When an agent leaves a brokerage, Business Plus lets you retain, transfer and audit their files and email rather than losing a departing agent’s entire client history. For any brokerage with meaningful agent turnover, that alone justifies the difference.
The 500-person Meet capacity also covers office-wide training that Standard’s 150 cannot.
Google Workspace for mortgage lenders and loan officers
Business Plus, in most cases. Lending involves borrower financial documents, and Business Plus adds Vault for retention and eDiscovery plus enhanced endpoint management. If your compliance team requires documented retention policies on email, that is the tier that provides them.
Loan officers operating independently, without institutional compliance requirements, are usually well served by Business Standard.
Custom email for real estate: why your own domain matters
Real estate runs on trust established quickly, often before anyone meets in person. A homeowner deciding whether to hand you a $600,000 listing is reading signals, and your email address is one of the first.
An address at your own domain does three things a free Gmail account cannot:
- It signals permanence. [email protected] reads as a side pursuit. [email protected] reads as a business that will still exist at closing.
- It protects deliverability. Workspace lets you authenticate your domain with SPF, DKIM and DMARC, which is what keeps listing alerts and transaction updates out of spam folders. Free accounts sending marketing volume increasingly do not land.
- You own it. A brokerage-issued address disappears when you change brokerages, taking your reply history with it. Your own domain moves with you.
That last point is the one agents underestimate. If your email lives at your brokerage’s domain, your client relationships are on rented ground.
Gemini AI in Google Workspace for real estate
Since January 2025, Gemini has been included in Workspace rather than sold as an add-on — the reason list prices rose. It is included across all Business plans, with expanded access on Standard and above.
What it actually does for an agent day to day:
- Gmail: drafts replies to enquiries and summarises long email threads — useful when a transaction thread reaches forty messages and you need the current state of it.
- Docs: drafts listing descriptions, neighbourhood summaries and client update letters from a short prompt.
- Sheets: builds and analyses comp tables without formula work.
- Meet: takes notes and produces summaries, so a buyer consultation produces a record without anyone typing during it.
Treat these as drafting assistance, not automation. Anything touching price opinions, disclosures, or fair housing language needs your review before it reaches a client — that responsibility does not transfer to the tool.
How to set up Google Workspace for your real estate business
- Choose your plan. Business Standard suits most agents. You can upgrade later without disruption.
- Enter your domain. Use the domain your website already runs on. If you do not have one yet, register it first — your email address and your website should share it.
- Verify ownership. Google supplies a TXT record to add at your domain registrar. This proves the domain is yours.
- Point your MX records to Google so mail routes to Workspace. This is the step where email goes quiet if it is done incorrectly — change MX records outside business hours.
- Create your addresses. Start with your own, then add aliases such as listings@ or offers@ at no extra cost. Aliases are free; additional users are not.
- Authenticate. Set up SPF, DKIM and DMARC. Skipping this is the single most common cause of real estate email landing in spam.
Using Google Workspace with a LiveBuyers website
If your website is built by LiveBuyers, your domain is already configured — Workspace slots onto the same domain so your site and your email match. We handle the MX and authentication records as part of setup, which removes the step that most commonly goes wrong.
The combination that works is straightforward: an IDX website that captures enquiries, a CRM that holds them, and Workspace email at the same domain so every reply reinforces the same brand. Where the enquiries come from is a separate question — that is what managed lead generation covers.
Google Workspace vs the alternatives for real estate
Realtors generally end up choosing between three options. The trade-offs are worth understanding before you commit a domain to one of them.
| Option | Custom domain email | Storage | AI assistance | You own the account |
|---|---|---|---|---|
| Free Gmail | No | 15 GB shared | Limited | Yes |
| Brokerage-issued email | Their domain | Varies | Varies | No |
| Google Workspace | Yes, your domain | 30 GB – 5 TB | Gemini included | Yes |
| Microsoft 365 | Yes, your domain | 1 TB typical | Copilot, usually extra | Yes |
Microsoft 365 is a legitimate alternative and some brokerages standardise on it. The practical argument for Workspace in real estate is that most agents already live in Gmail, Google Calendar and Google Drive, and most real estate software integrates with Google first.
What Google Workspace does not do
Worth being clear, because it is often oversold. Workspace is email, storage, calendar and documents. It is not a CRM, it does not generate leads, and it will not follow up with a prospect while you are showing a property.
Agents who expect it to replace a lead system end up disappointed. It is the professional foundation underneath the business — the layer that makes everything else look credible — and it needs a CRM and a source of real estate leads alongside it.
Mistakes to avoid
- Buying a seat for every alias. info@, listings@ and offers@ can all be free aliases on one account. Only pay per person, not per address.
- Choosing Starter then outgrowing it mid-year. 30 GB does not survive contact with listing video. Upgrading is easy, but you will do it.
- Skipping DMARC. Deliverability requirements have tightened, and unauthenticated bulk sending increasingly fails to arrive.
- Using a brokerage email address for your own database. You are building an asset you do not own.
- Changing MX records mid-day. Propagation takes time. Do it in the evening.
Frequently asked questions
How much does Google Workspace cost for real estate agents?
Business Starter is $7 per user per month, Business Standard is $14, and Business Plus is $22, each on an annual commitment. Google is running 50% off Starter and Standard through 16 December 2026, which brings Standard to $7 for the first year. Flexible monthly billing costs roughly 20% more than annual.
Which Google Workspace plan is best for realtors?
Business Standard for most solo agents and small teams, because of 2 TB of storage and full Gemini access. Business Plus for brokerages that need shared drives and the ability to retain a departing agent’s files, and for lenders with document retention requirements.
Can I use Google Workspace with my existing domain?
Yes. Select the option to use a domain you already own during setup, verify ownership with the TXT record Google provides, then point your MX records to Google. Your website and email can share the same domain.
Is Google Workspace worth it for a solo real estate agent?
For $14 a month, it replaces the need for separate email hosting, file storage, video meetings and an AI assistant, and it gives you an address at your own domain. For most agents the storage alone justifies it once listing photography and video accumulate.
Do I need Google Workspace if my brokerage gives me an email address?
Brokerage addresses disappear when you change brokerages, and your reply history goes with them. Owning your domain keeps your client relationships portable. Many agents run both — the brokerage address for compliance, their own for their database.
Does Google Workspace include Gemini AI?
Yes. Since January 2025, Gemini is included in all Business plans rather than sold separately. Business Starter includes limited access; Standard, Plus and Enterprise include expanded access across Gmail, Docs, Sheets, Slides and Meet.
Is Google Workspace good for realtors?
Yes, and it is the most common choice in the industry. Realtors get an email address at their own domain, storage that handles listing photography and video, calendar sharing for showings, and Gemini AI for drafting listing copy and summarising client threads — for less than the cost of a single lunch per month.
Can a real estate team share one Google Workspace account?
No, and you should not try. Each person needs their own user licence, which is what makes email portable and auditable. What you can share for free are aliases such as listings@ or offers@, which route to whichever account you choose without an additional charge.
What is the difference between Google Workspace and free Gmail?
Free Gmail gives you an address ending in gmail.com with no domain authentication, no administrative controls, and no ownership of the account if it is ever lost. Workspace provides an address at your own domain, admin control over every user, domain authentication for deliverability, and far more storage.
